Part-Time Bookkeeper / Administrative Assistant



The Rose Foundation is seeking an experienced bookkeeper/administrative assistant to help keep the Foundation’s books, work with our outside CPA and auditor, and perform administrative tasks related to accounting, and grants and donations management.

The ideal candidate will be: experienced in nonprofit accounting, familiar with online databases, possess administrative experience, and be extremely detailed oriented. This is a new position at the Foundation. We would prefer to hire a part-time staff member to perform the full range of bookkeeping and administrative assistance required, but would also consider hiring a bookkeeping contractor who would focus solely on the bookkeeping aspects of the position. The job will be approximately 10 - 15 hours/week, depending on the range of duties. Specific hours are flexible within the normal 40 hour Monday – Friday work week.



About the Rose Foundation



The Rose Foundation is a grantmaking public charity dedicated to supporting grassroots initiatives to inspire community action for environmental protection, public health, consumer protection and sustainability. Our work emphasizes building community power and encouraging corporate and government accountability. The Foundation’s environmental, consumer protection, fiscal sponsorship and donor-advised grantmaking programs annually award approximately $2 million. We also work with East Bay youth in the area of environmental justice and civic engagement, and conducts national advocacy programs related to sustainable investing. Our office is 2 blocks from the Rockridge BART station in Oakland, California.



Specific Job Responsibilities



Bookkeeping and Accounting Duties



Twice monthly accounts payable
Twice monthly, process and pay fiscal sponsorship grant awards and training/travel scholarships
Twice monthly, enter payroll from payroll service
Monthly, prepare and pay electronic payment to pension plan
Monthly, reconcile all bank accounts and prepare draft financial statements for internal use.
Quarterly, prepare and pay grants
Quarterly, prepare and pay worker’s compensation
Prepare and process invoices as required by grants contracts and other funding sources
Help managing director prepare financial reports for Rose Foundation’s internal use and for funders.
Work with managing director in preparing annual budget
Work with managing director in preparation for audit and taxes
Provide annual documentation on employee pension plan
Other accounting tasks as assigned by the Managing Director




Administrative Duties:



Enter grant proposals, applications, and reports into database
Prepare grant contracts and award letters
General database entry and maintenance
Track employee vacation, sick, family leave, comp time and other benefits
Upload grants paid into website database
Help maintain office organization and filing systems
Answer telephones
Other administrative tasks as assigned by the Managing Director or Executive Director


Qualifications





Three to five years experience in bookkeeping, preferably for a nonprofit organization.
Proficient with Excel spreadsheets, double entry accounting software (MYOB or QuickBooks preferred). Experience with databases strongly preferred, especially integrating databases and accounting records.
Ability to work both independently and as part of a team.
Sincere commitment to social justice, environmental protection and community engagement.
Sense of humor essential.
Associate degree required. Undergraduate degree strongly preferred.


Compensation



Compensation commensurate with experience and duties.
